CCC One phone integration - how a voice agent feeds your estimating workflow

Auto-assignments from CCC, customer-facing scheduling, and the call summary that lands in your team inbox before the lift comes off. Here is how phone + CCC works without anyone touching a keyboard.

TLDR

CCC One drives most collision shop estimating workflows. A voice agent on your front line feeds CCC by capturing structured intake on every call - vehicle, damage, carrier, claim - then routes the assignment + photos to the right place so your team starts repair from a clean record. Phase 1 ships call+notify; Phase 2 wires direct write-back to CCC.

What is CCC One and why do voice agents need to know about it?

CCC One (also written as "CCC Intelligent Solutions" or just "CCC") is the dominant collision-estimating platform in the US auto body industry. It runs the estimate, the assignment, the photos, the parts ordering, and the supplements. If you run a collision shop, your day starts and ends in CCC.

The voice agent's job is to keep the front of that workflow clean. Every inbound call that ends in a booked estimate should land in CCC with the right vehicle, the right carrier, the right damage, and the right photos - so your estimator opens a clean record and starts repair, not a half-filled-in stub that needs a callback to clarify.

How does the voice agent feed CCC today (Phase 1)?

Phase 1 ships capture + email. Here's the flow:

  1. Inbound call hits the agent. Forwarding from your existing business line on no-answer or after-hours.
  2. Agent qualifies the caller. Vehicle make / model / year, kind of damage, cause, location, carrier name, claim filed yes/no, claim number if available.
  3. Agent schedules the in-shop estimate. Offers two slots from your real calendar; confirms one. Slot is held the moment the caller agrees.
  4. Agent texts the photo-upload link. Caller uploads damage photos from their phone. Industry estimates put photo-conversion at 60-80% when the link goes out within minutes of the call.
  5. Email lands in your team's inbox in under 60 seconds. Structured: customer info, vehicle, damage, carrier, claim status, booked slot, link to photos as they arrive.
  6. Your team drops the structured data into CCC. No phone tag, no callback, no missed details. The estimator opens CCC with everything they need.

This is the part that's live today on every Magic Receptionist deployment. It's the bigger lift than direct write-back because the data quality is what matters - if intake is clean, CCC entry is fast.

What's coming in Phase 2 (direct CCC write-back)?

Phase 2 wires the agent directly into the CCC API. When the agent finishes a call, it writes the assignment into CCC - the customer record, the vehicle, the loss type, the carrier, the photos - so your estimator opens a record that's ready to estimate, not a record that needs to be created.

We're building this with pilot shops first because the data integrity matters. A voice agent writing bad data into CCC is worse than a clean handoff to a human who knows the shop. Phase 2 ships once we've validated intake quality at scale.

What about CCC auto-assignments from DRP carriers?

DRP carriers (Direct Repair Program insurers) send auto-assignments into CCC the same way they always have - your team handles those in CCC. The voice agent helps on the customer side: when the customer calls to schedule, the agent recognizes the carrier and claim, books the in-shop estimate, and texts the photo-upload link. Two parallel flows that meet at the appointment.

Industry context: only ~10% of estimates now hit physical desk review (DRPs are mostly AI-reviewed by carriers), so the desk-review call volume is collapsing - but it's the most painful 10%. The voice agent handles those cleanly and gets photos uploaded fast so the desk reviewer has what they need. More on that here.

What other estimating systems work with this approach?

The voice agent's job is the same regardless of estimating system - capture structured intake, send a clean email summary, hold the slot. Phase 2 integrations on the roadmap:

  • CCC One - direct write-back into assignments + repair orders.
  • Audatex - same pattern, Audatex API.
  • Mitchell - same pattern, Mitchell API.
  • ProfitNet - DMS-side write-back where ProfitNet drives the shop.
  • nexsyis - cloud-native shop management; same write-back pattern.

If your shop runs something else, the intake form captures the system name and the agent maps the structured payload to it automatically. The voice agent itself is system-agnostic.

What about repair-order status calls ("where's my car?")?

Phase 1 escalates "where's my car?" calls to your designated service writer or front desk. We don't want the agent reading status off a stale CCC record and giving the customer a wrong answer.

Phase 2 will wire read-only access to your CCC repair-order status. The agent will be able to confirm "your vehicle is in the paint booth, ETA Friday by 3pm" without anyone touching a keyboard. We're shipping that once we've validated data freshness with pilot shops.

How do I get started?

Three steps:

  1. Capture your shop's intake flow in the signup form. What CCC pipelines you run, what carriers you have direct relationships with, what your front-desk script looks like.
  2. The agent tunes itself to match. Same script your team uses, same carrier scripts, same scheduling rules — auto-built from your answers.
  3. Go live within 24 hours of signup on conditional forwarding. Voice agent picks up overflow + after-hours, captures intake, sends the structured email. Phase 2 CCC write-back rolls out per-tenant in-app on the pilot wave.

Frequently asked

What shop owners ask before saying yes.

Does the voice agent write directly into CCC One?

Phase 1 voice agent captures structured intake (vehicle, damage, carrier, claim status, contact info, scheduled slot) and emails it to your team in a structured format ready to drop into CCC. Direct CCC write-back is on the Phase 2 roadmap - we want to ship it once we've validated the data quality on real shop calls.

What about CCC auto-assignments from DRP carriers?

When a DRP carrier sends a CCC auto-assignment, your team handles the assignment in CCC as usual. The voice agent helps on the customer-side - when the customer calls, the agent recognizes their carrier + claim, books the in-shop estimate on your real calendar, and texts the photo-upload link. Two parallel flows that meet at the in-shop appointment.

Try it for your shop ->
How does the agent capture damage photos for the estimate?

End of call, the agent texts the caller a one-tap upload link. The caller uploads photos from their phone; the photos land with the call summary in your team's email. No app to install, no friction, no follow-up phone call required. Industry estimates put photo-upload conversion at 60-80% when the link goes out within minutes of the call.

Can the agent answer 'where's my car?' for a customer with an open RO in CCC?

Phase 1 - the agent escalates 'where's my car' calls to your designated service writer or front desk. Phase 2 wires read-only access to your CCC repair-order status so the agent can answer status questions without escalating. We want to validate the data freshness before we trust the agent to give a customer a wrong status.

Try it for your shop ->
What other estimating systems will the agent feed besides CCC?

Phase 2 roadmap includes Audatex, Mitchell, ProfitNet, and nexsyis. The voice agent's job is the same regardless of what's on the back end - capture structured intake, route to the right place. The integration layer is what we're building once Phase 1 stabilizes.

Try it for your shop ->
Will I need to change my CCC workflow?

No. The agent feeds your existing CCC workflow - it doesn't replace it. Your team still drives CCC. The agent just gives them cleaner intake to work with, faster, with photos already attached.

Try it for your shop ->
What if my shop uses something other than CCC?

The agent still works - it captures the same structured intake, sends the same email summary. The only thing that changes is which estimating tool your team drops the data into. The system is estimating-tool-agnostic. Try it now to confirm it fits your stack.

Try it for your shop ->
How fast does the integration go live?

Phase 1 (capture + email) goes live in 24 hours of signup — that's just the voice agent on your line. Phase 2 (direct CCC write-back) is on the roadmap; tenants on the platform get notified in-app the moment their pilot slot opens.
